Job Title: Office Manager (Full-Time, Non-Exempt)
Reports To: Executive Director
Compensation: $32 per hour, commensurate with experience
Schedule: Tuesday - Friday 9:30 AM - 5 PM
Position Summary:
The Office Manager at Pacific Art League (PAL) serves as the first point of contact for all students, members, artists, and visitors. This customer-centric role oversees daily operations, volunteer coordination, event support, and building management. The ideal candidate is organized, adaptable, and thrives in a collaborative, creative environment.
Roles and Responsibilities:
Reception, Class Registration & General Assistance
Manage telephone and email inquiries; assist with class registrations and payments.
Provide accurate information on classes, workshops, exhibitions, and memberships.
Maintain member records and coordinate monthly renewals and solicitations.
Assist with event preparation, including reception and classroom setups.
Manage classroom set up schedule
Office & Building Management
Ensure security protocols are followed and manage access to the building.
Maintain inventory of office, janitorial, and kitchen supplies.
Coordinate with vendors and ensure the facility is clean and operational.
Event Support
Organize and support PAL-hosted events, including receptions and exhibitions.
Record visitor data for outreach and follow-up.
Volunteer Coordination
Maintain volunteer databases, records, and activity schedules.
Implement appreciation programs and assess satisfaction to improve engagement.
Provide guidance and training to ensure volunteers are successful in their roles.
Requirements:
High school diploma or equivalent (Associate or Bachelor’s degree preferred).
Strong communication skills and proficiency in Microsoft Office, Canva, and Squarespace.
Ability to lift and carry up to 30 pounds.
Ability to assist with setting up tables, chairs and easels for classes
Availability to support occasional evening and weekend events.
Prior experience in office management or customer service is a plus.
A positive attitude and willingness to learn and collaborate with a small team
Physical Requirements:
Prolonged periods of sitting, standing, and working on a computer.
Must be able to lift up to 30 pounds and perform basic office tasks.
